This privacy policy describes how we collect and use personal information that we collect through our ExemptionIQ plugin for Shopify, which helps merchants manage their customer’s sales tax exemptions, and which we refer to as the “Plugin.” This privacy policy only describes our privacy practices in connection with ExemptionIQ and not with any of our other products or services or with the operation of our business generally.
In this document, the words “we,” “our” and “us” refer to Tax CSA, Inc., a Delaware corporation, and the word “Policy” refers to this Privacy Policy.
This Policy is effective as of the “last updated” date shown above. When we update this Policy, we will update that date.
Personal Information We Collect
When this Policy refers to “personal information,” it is referring to information that may be used to identify or reference an individual person. We collect information about our merchants and their end-customers who use the Plugin. Because those merchants and end customers are sometimes individuals, their information can contain personal information.
We collect the following personal information about end-customers
- Their name and any assumed (d/b/a) name
- The name of their primary contact person
- Their email address
- Their telephone number
- Their default shipping and billing addresses
- Their taxpayer ID or Federal EIN
- Their “IP Address,” which is a long number that is associated with their computer or mobile device
- An electronic signature when they sign an exemption certificate
We also collect the following information about merchants when they create or update their account with us:
- Their business name
- The name of their point-of-contact
- Their address
- Their email address
- Their telephone number
How We Collect Personal Information
We collect personal information in four different ways:
- When an individual provides it directly to us, either by signing up to use the Plugin with their merchant account, or by typing it into the Plugin
- By using a software interface provided by Shopify
- When the merchant enters information about their customers into ExemptionIQ
- When an end-customer uploads a government-issued exemption certificate, we extract identifying details
How We Use Personal Information
We use Personal Information to provide and support the ExemptionIQ service, which creates, validates and manages tax exemption certificates between merchants and their customers.
We also use Personal Information on an anonymized and aggregated basis to determine what features we want to add to ExemptionIQ, to improve how ExemptionIQ functions, and to determine if there are other services we may want to provide in the future. When we anonymize and aggregate data, it becomes impossible to re-identify any individual.
With Whom Do We Share Personal Information?
We share personal information about a merchant’s end customers with that merchant as part of providing ExemptionIQ. Sometimes that means sharing information with a merchant’s service providers who are involved in their sales-tax related operations.
We also share personal information with certain service providers who are required to maintain its confidentiality and only when we believe that the service provider actually has the ability to protect that confidentiality.
Otherwise, we do not sell, rent or share personal information with any third party or use it for marketing or advertising purposes.
How Long do We Keep Personal Information?
We keep personal information regarding a merchant and its end-customers for so long as the merchant uses ExemptionIQ. Once a merchant discontinues use, we will delete any information related to that merchant’s end customers.
Personal Information about Children
We do not intentionally collect personal information about children and do not believe that ExemptionIQ will be of any use to children. If you believe that we have collected personal information about a child, please send us an email using the contact information below. In your email, please tell us why you believe we have this information, including any details about the personal information we have. We will investigate and delete any such information.
